Privacy Policy & Client Data Protection
Strategic Media is committed to strict commercial confidentiality, embargo protection, and transparent journalistic data processing across all media distribution networks.
Questions regarding mutual NDAs, unreleased drafts, or personal data deletion requests?
1. Executive Overview & Scope
Strategic Media ("Strategic Media", "we", "us", or "our") operates as a premier national press release distribution wire, media syndication platform, and corporate editorial communications desk. This Privacy Policy outlines our strict protocols for collecting, processing, safeguarding, and transmitting commercial communications and personal data submitted through our digital portal, intake desks, and editorial systems.
We operate in complete accordance with the Digital Personal Data Protection Act (DPDPA 2023), the Information Technology Act, 2000 (and applicable IT Rules), and respected international press wire confidentiality conventions.
2. Information We Collect
To execute verified press releases, media clippings, and distribution reports, we collect necessary business and operational data categorized as follows:
- Account & Point of Contact Details: Full Name, Authorized Corporate Email Address, Direct Phone / WhatsApp Number, Designation, and Entity / Agency Name.
- Editorial & Announcement Materials: Press release copy, executive quotes, official spokesperson bios, approved high-resolution images, brand logos, PDF dockets, and target canonical URLs.
- Commercial & Invoicing Records: GSTIN number, registered corporate address, PO numbers, and payment verification references (all transactions processed via certified PCI-DSS compliant banking gateways).
- Platform Security Telemetry: IP address, device fingerprints, submission timestamps, and Cloudflare CAPTCHA tokens to thwart automated spam and DDoS exploitation.
3. PR Draft Confidentiality & Embargo Protocols
We recognize the commercial sensitivity of unreleased corporate acquisitions, venture funding rounds, product rollouts, and executive transitions. All pre-release drafts submitted to Strategic Media are governed by strict commercial Non-Disclosure Agreement (NDA) principles.
If an intake docket is marked EMBARGOED with a designated distribution timestamp (e.g., IST 09:00 AM), our editorial copy desk locks the docket in an encrypted holding queue. No journalist, syndicated feed, or publishing network receives the material until the exact timestamp arrives.
4. Newsroom Syndication & Publisher Desks
By approving and ordering a distribution package, the client explicitly authorizes Strategic Media to transmit the final approved release, executive quotes, company media assets, and public media contact information to verified publisher desks (including national dailies, regional news portals, financial wires, and RSS feeds).
Public Record Notice: Once an announcement is syndicated across third-party media outlets (e.g., Hindustan Times, ThePrint, ANI News, Lokmat Times, Dailyhunt, regional networks), it enters the public editorial record and may be archived by global search engines and automated scrapers beyond Strategic Media's direct server control.
5. Data Security & 256-Bit Vault
Strategic Media employs enterprise-grade security infrastructure to protect client assets from unauthorized disclosure, tampering, or breach:
- 256-bit TLS encryption for all intake transmissions and file transfers.
- Role-based access controls (RBAC) restricting draft viewing solely to assigned copy editors.
- Encrypted offsite audit logs with immutable submission records.
- Zero monetization or resale of corporate contact books to ad networks or third-party brokers.
7. DPDPA 2023 Rights & Data Retention
In accordance with the Digital Personal Data Protection Act, 2023, clients and authorized corporate representatives have the right to:
- Request a summary of personal contact data processed by our newsroom.
- Request correction or updating of inaccurate billing or account credentials.
- Request deletion of promotional contact records from our direct advisory mailing lists.
- Nominate an alternate representative for corporate communications management.
8. Turnaround SLA & Compliance Commitments
Our guaranteed distribution delivery, editorial verification, and live clipping dossier delivery operate strictly within our standardized window of 48 hrs to 45 days (T&C Apply), depending on publisher tiers, regional translation requirements, and editorial queue verification.
9. Grievance Officer & Contact Desk
Pursuant to Rule 3(2) of the Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021 and the DPDPA 2023, any privacy concern, data request, or embargo escalation should be addressed to our designated Grievance Officer:
